What information InceptionMail gathers and tracks
InceptionMail collects four types of information:
1) personal (name, email address and telephone number), financial (credit card details) or company information that you knowingly disclose when signing up to trial or purchase InceptionMail;
2) technologically obtained information which is collected using “cookies” or web logs to collect information about how InceptionMail is being used by you. Information gather in this way may include date and time of visits, the pages viewed and the time spent at InceptionMail;
3) account usage information such as the number of ../Site/Images/, lists and templates stored on your account and the frequency and size of your mailings.
4) third party personally identifiable information such as email addresses, names, telephone numbers and other personally identifiable information (PII) provided by our client’s. InceptionMail’s clients have control over this third party PII which they may use to send their marketing materials. InceptionMail does not use this information for any other purposes.
What InceptionMail does with the information it gathers and tracks
We may use your personally identifiable information, such as your email address, for sending promotions or updates about our company or to contact you with regards to your account if necessary or requested.
We may use your IP address to help diagnose problems with our server and to administer our website. Tracking your screen resolution and browser type help us understand your needs related to our website presentation.
Monitoring the data stored in your account and volume of emails you send allows us to anticipate product usage and ensure we have sufficient infrastructure in place to provide the expected service for our users.
With whom InceptionMail shares information it gathers
We may share aggregate statistics about our customers’ reservations and traffic patterns with our partners and suppliers, but no personally identifying information are included in these Reports.
The security of your personally identifiable information is important to us. When you enter sensitive information (such as a credit card number) on our order forms, we encrypt the transmission of that information using secure socket layer technology (SSL). InceptionMail will follow commonly accepted industry standards to protect personally identifiable information submitted to us, both during transmission and once we receive it. However we cannot guarantee total or absolute security, as no method of transmission over the Internet, or method of electronic storage, is 100% secure. As part of our commitment to you, the customer, Quattro Internet Solutions DBA InceptionMail will strive to implement and use any commercially acceptable means accessible to protect your personally identifiable information. As such InceptionMail conforms to industry security standards to protect user information from hacking attempts and virus attacks. We use the latest product releases from Microsoft and other companies to make certain our systems always rate well against industry standards. Our software and operating systems are always up to date with the latest security patches and updates.
Firewalls are used extensively to protect data by opening only the essential channels to the necessary entities on our servers. This means that if a PC or location does not need access to our servers for our system to function correctly, they will be unable to contact that server. This greatly reduces the chances of hackers being able to infiltrate our system. We use the newest Virus software to scan our servers in real time against any suspicious traffic or files. Virus definition updates occur numerous times per day.
All our software runs on RAID hard drives to prevent downtime in the event of hardware failure. We further protect our data from hardware failure or disaster events by running daily backups.
Upon joining InceptionMail all our employees sign a privacy agreement preventing them from using, disclosing or selling any user information for any purposes other than servicing your accounts.

Technologies such as: cookies, beacons, tags and scripts are used by InceptionMail and our marketing partners partners, affiliates, or analytics or service providers. These technologies are used in analyzing trends, administering the website, tracking users’ movements around the website and to gather demographic information about our user base as a whole. - Log Files
As is true of most websites, we gather certain information automatically and store it in log files. We partner with a third party to either display advertising on our website or to manage our advertising on other sites. Our third party partner may use technologies such as cookies to gather information about your activities on this website and other sites in order to provide you advertising based upon your browsing activities and interests. Personally Identifiable Information (PII)
Personally Identifiable Information (PII) is any piece of information which can potentially be used to uniquely identify, contact, or locate a single person.
User Access and Choice
Our policy on correcting and updating personally identifiable information is as follow: InceptionMail LTD InceptionMail gives you as much control as possible over your personally identifiable information. You have the option to register with us for use of our services. You can update your personally identifiable information, subscriptions or service package at any time. To update your PII all you need to do is login to your account, select the Setup and Options tab on the left hand navigation bar and make the necessary changes.
We will retain your information for as long as your account is active or as needed to provide you services. If you wish to cancel your account or request that we no longer use your information to provide you services contact us at privacy@InceptionMail.com. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
PII collected is purely for the purposes of identifying users and account purposes. No PII is collected through any tracking technologies. But website user data generated from tracking technologies are tied into PII for the sole purpose of better understanding the effectiveness of marketing campaigns. This data is in turn used to identify potential target markets, to streamline communications to clients and prospective clients and to aid in the development of a better product. The information collected through tracking technologies include: search behaviour, site traffic, time on site, referring ad campaigns and information on drop off points of traffic.
Customer Support Online Chat
We may provide your personally identifiable information to companies that provide services to help us with our business activities such as offering customer support. InceptionMail contains an online chat service that allows our clients to contact us directly should they have queries of any sort. The chat button is in the InceptionMail website and in each and every InceptionMail account. Our departments are setup so as the following Billing, Support and Sales and operators are assigned to each of these departments. The chat allows us to view information about the client, such as geographic location, which browser they are using, the current web page they are viewing, IP address, country etc. The tool also allows us to build up a knowledgebase and an FAQ section where we receive all correspondence via email. The service is available provided that there is someone signed in and online. These companies are authorized to use your personal information only as necessary to provide these services to us.
We use Secure Trading to provide payment services. They are online payment gateways which make subscribing and purchasing quick and easy for our clients. Payment details are encrypted and sent to the payment processing gateway. All payments are linked and identified to a transaction ID, but when a client selects to subscribe for a monthly subscription this subscription is identified and linked to a unique ID. This unique ID is used to initiate recurring payment. Within the unique ID the particulars of the client is viewable such as when the subscription – date and time – was made as well as the client name, address, contact no. and number payments made. The information obtained from clients at payment is not stored by InceptionMail . These confidential details [credit card details] are stored only at the Merchant bank (European Merchant Services) therefore InceptionMail does not have access to these details. Secure Trading notifies us of payment failures, warnings and cautionary payments and credit card expires. The link between Secure Trading and InceptionMail will automatically suspend clients when payment has failed and this is done by warning from InceptionMail . Should the client wish to upgrade or downgrade their subscription the existing and present unique ID is cancelled and a new unique ID is allocated to the subscription. Clients can cancel at anytime from directly within the account or by an email request to support@InceptionMail.com. The unique ID is then cancelled and this will end all recurring payments. These third parties are prohibited from using your personally identifiable information for any other purpose.
InceptionMail text messaging (SMS)
The Short Message Service – Point to Point, SMS-PP, as defined in Global Systems for Mobile communication standard, recommendation 03.40, as used for sending text messages (SMS) by the InceptionMail texting (SMS) service, does not provide for an unsubscribe mechanism. Recipients of unwanted information sent to them by way of texting (SMS) through the InceptionMail system should email smsunsubscribe@InceptionMail.com and state the message content in the SMS. Within 72 hours of receipt their cellular number will be added to the block list of the sending account.
InceptionMail text messaging (SMS)
To opt-in or subscribe to our service, you can register from our website, and we’ll guide you through the process from your mobile phone.
To opt-out from our SMS service, you can text ” STOP” to 97233 from your mobile phone and we will unsubscribe you from our SMS text messaging service immediately. You will not receive any additional messages until you re-register. To get help, email us at support@InceptionMail.com

Social media widgets
You can log in to our site using sign-in services such as Facebook Connect or an Open ID provider. These services will authenticate your identity and provide you the option to share certain personally identifiable information with us such as your name and email address to pre-populate our sign up form. Services like Facebook Connect give you the option to post information about your activities on this web site to your profile page to share with others within your network.
Collection and Use of 3rd Party PII
You may also provide personally identifiable information about other people, such as their name, date of birth and gender. This information is only used for the sole purpose of completing your request or for whatever reason it may have been provided.
You can import contacts from your Gmail or other email account address book to invite them to become members of our website. We collect the username and password for the email account you wish to import your contacts from and will only use it for that purpose.
If you wish to subscribe to our newsletters, we will use your name and email to send the email to you. Out of respect for your privacy, you may choose to stop receiving our newsletter or marketing emails by following the unsubscribe instructions in these emails.
In situations deemed necessary InceptionMail will send you strictly service-related announcements, i.e. if our service is temporarily suspended for maintenance, we will send you an email informing you of this situation.
